Notion is one of the most flexible productivity tools available — part note-taker, part project manager, part database, part wiki, all in a single connected workspace. The reason it confuses so many new users is that it doesn’t look like any one of those things on first opening. Instead, you get a blank page and a blinking cursor. That blank page is intentional. Notion is designed to become whatever you need it to be. Learning it isn’t about memorising a rigid interface — it’s about understanding a small set of building blocks and composing them into a system that fits your workflow. Once that clicks, Notion becomes genuinely irreplaceable for many people.

Pages, blocks, and the core structure

Everything in Notion is a page. A page can contain text, images, tables, to-do lists, embedded files, databases, links to other pages — and pages can be nested inside other pages infinitely, creating a hierarchy as deep or as flat as you need. Your sidebar shows top-level pages; click the triangle next to any page to expand sub-pages nested within it.

Within any page, content is organised in blocks. A block is a discrete unit of content — a paragraph, a heading, a bullet point, an image, a video embed, a code block, a database. Every element on a Notion page is a block, and blocks can be dragged and rearranged freely.

The key interaction: type “/” anywhere on a page to open the block menu — a searchable list of every block type available.

  • /h1 inserts a Heading 1
  • /todo inserts a checkbox
  • /table creates a simple table
  • /database creates a full relational database
  • /callout creates a highlighted callout box

Blocks can also be converted after creation. Hover over any block → click the six-dot handle on the left → “Turn into” → choose a new type. A paragraph of text can become a bullet, a heading, a toggle (collapsible), or a quote with one click. Draft freely and structure later — Notion is designed for how thinking actually works.

Databases — the most powerful feature

Databases are where Notion goes from useful to genuinely powerful. A Notion database is a collection of pages where each page represents a row, and each page has properties — structured fields like text, numbers, dates, checkboxes, select menus, multi-select tags, people, URLs, files, or relations to other databases.

The same database can be displayed in six different views, each showing the same underlying data in a different format:

Adding a new view to an existing database: click the “+” next to the existing view tabs → select the view type. Every view shows the same data — adding a Board view to a Table database doesn’t move or duplicate anything, it just gives you a new lens to look at the same records. Most Notion power users live in two or three views of the same database simultaneously.

Because every database row is actually a full Notion page, each item can have unlimited detail inside it (notes, sub-tasks, attachments, comments) while still being trackable through the database view. This is the design decision that makes Notion uniquely powerful: structured overview and rich detail in the same system, no switching between tools.

Templates — the fastest way to get started

Rather than building from a blank page every time, Notion’s template system lets you start from a proven structure. Two sources:

  1. Built-in templates: click “Templates” in the left sidebar. Notion provides dozens of ready-made setups across categories: personal goals, project management, meeting notes, reading lists, content calendars, CRM databases. Click any template → “Use this template” to add it to your workspace as an editable page.
  2. Template buttons: inside any database, create a template that generates a pre-formatted new page whenever you add a row. For a project database, the template might include a standard set of sub-tasks, a notes section, and a status timeline — so every new project starts with the same structure.

Relations and linked databases

Relations connect two databases so that records in one can link to records in another. In a freelance workspace, a Projects database and a Clients database can be connected so each project links to the client it belongs to. In a content team setup, an Articles database can relate to an Authors database so each article links to its author.

Adding a relation: in any database → “+” to add a new property → select “Relation” → choose the database to link to. Once connected, each row can link to one or more rows in the related database.

The Rollup property extends this: once a relation exists, a Rollup can pull aggregated data from the related records into the current database. Link Articles to Authors, then add a Rollup in the Authors database to count how many articles each author has published. Or link Tasks to Projects and Rollup to sum total estimated hours per project. This is the feature that makes Notion capable of things most people think require a dedicated project management tool.

Navigation — keeping the sidebar under control

The most common Notion frustration as the workspace grows: the sidebar becomes an overwhelming list. The solution: keep the top level minimal — three to five main sections at most (“Work,” “Personal,” “Resources,” “Archive”). Everything lives inside these as sub-pages. Use drag-and-drop to reorganise.

Use Favourites for the pages you visit most. Hover any page in the sidebar → star icon → it gets pinned above the main sidebar. Deep hierarchy for organisation, Favourites for access. This pattern keeps navigation fast regardless of how large the workspace grows.

Synced blocks — the often-missed feature

A synced block contains content that appears identically in multiple pages simultaneously — editing it in any location updates it everywhere. Type /synced block to create one.

Useful for: a recurring agenda template that appears in multiple meeting pages; standard terms-and-conditions that appear in multiple project pages; a team update that needs to live in multiple contexts simultaneously. Without synced blocks, keeping the same information current across many places requires manual updates in each location — with them, one edit propagates automatically.

The quick way to discover Notion’s full range of block types: type “/” on any empty page and scroll through the entire menu once. Every block type is listed with a description. Reading through takes about five minutes and reveals features most users never discover through normal use — button blocks, breadcrumbs, table of contents, linked database mentions, and more. That five-minute scan typically surfaces two or three features that immediately change how you use the tool.

Filters and sorts in databases

Every database view can be filtered and sorted independently. Click “Filter” at the top right of any database view → add a filter rule → choose the property, the condition, and the value. A filter showing only tasks with Status = “In Progress” assigned to a specific person, due this week — set up once, always up to date.

Sorts apply ordering within the filtered results: click “Sort” → choose the property and direction (ascending or descending). Combine multiple sorts — by due date first, then by priority within the same due date.

The powerful part: each view has its own independent filters and sorts. The Board view shows tasks by status; the filtered Table view shows only your tasks; the Calendar view shows everything by due date. Practical starting setups

Rather than building from scratch, these setups get most people productive quickly:

  • Personal task manager: one database with properties: Task name, Status (Not started / In progress / Done), Due date, Priority. Board view for Kanban; Calendar view for timeline; List view filtered to “due this week” as the daily driver.
  • Meeting notes: one page per meeting, nested inside a “Meetings” page. Each meeting page includes: date, attendees, agenda (toggle blocks for each agenda item), action items (linked to the task database). Over time, this becomes a searchable archive of every meeting.
  • Content calendar: database with properties: Article title, Status, Author (relation to team database), Publish date, Platform. Calendar view for scheduling; Board view for editorial status; Gallery view for visual overview.
  • Personal CRM: a Contacts database (name, company, relationship type, last contact date) related to a Notes database where each meeting or conversation becomes a linked note. Never forget context on a contact again.

Start with one of these setups and use it for two weeks before expanding. Notion rewards iteration — the best workspaces are the ones that evolve from actual use rather than ones that are architected comprehensively upfront and then abandoned because the structure doesn’t match how work actually happens. Integrations and Notion AI

Notion connects to external tools in several ways:

  • Native integrations: embed content directly in Notion pages from services like Figma, Loom, GitHub, Miro, and dozens of others using the embed block (/embed). The embedded content stays live and interactive.
  • Zapier and Make: no-code automation connecting Notion to thousands of apps — adding a database row when an email arrives, syncing Notion tasks to a calendar, creating Notion pages from form submissions.
  • Notion AI: available as an add-on, provides in-page AI assistance for writing, summarising, extracting action items from meeting notes, translating, and more — all within the context of the page you’re already working on.

Notion’s flexibility means there’s no single “right” way to use it — there’s the way that works for your specific combination of projects, working style, and team structure. The building blocks (pages, blocks, databases, relations, filters) are the vocabulary; how you combine them is the sentence that makes sense for your situation. Start simple, add complexity only when a real problem requires it, and the workspace will stay genuinely useful rather than becoming an elaborate system maintained for its own sake.
