File Explorer in Windows 11 is genuinely one of the most-used applications on the computer — it’s where files are opened, moved, organised, and deleted, and most people use it constantly without thinking about it. The Windows 11 version was redesigned with a cleaner interface, but the redesign also moved or removed features that Windows 10 users relied on, and the new layout has its own set of powerful features that most users never discover. The navigation pane — what’s in it and what you can add

The left panel of File Explorer shows Quick Access, your OneDrive, network locations, and your drives. Right-click any blank area in the navigation pane → options for what to show. A few changes that make a meaningful difference:

  • Pin folders to Quick Access: right-click any frequently-used folder → “Pin to Quick Access.” The folder appears at the top of the navigation pane for one-click access. Remove by right-clicking the pinned item → “Unpin from Quick Access.”
  • Expand folders in the navigation pane: View menu → Show → Navigation pane → “Expand to current folder” — the navigation pane automatically highlights and expands to show the folder you’re currently in. Off by default; useful for understanding where you are in a complex folder structure.
  • Show All Folders: right-click the navigation pane → Show all folders. This adds Control Panel, Recycle Bin, and Network to the tree — useful for quick access to these without going through Start.

File Explorer ribbon — where buttons went

Windows 11 replaced the Windows 10 ribbon with a simplified toolbar at the top. If you’re used to right-clicking for everything: many common actions are now in the toolbar. The key icons: New (create new folder or file), Sort, View, and the three-dot menu that contains additional options including Copy path, Compress to ZIP, Properties, and more.

The most useful toolbar button: “See more” (the three dots, …) → expands to a menu with operations that don’t fit in the main toolbar. This is where you find “Copy as path” (copies the full file path to clipboard — useful for command line work), “Compress to ZIP file,” “Pin to taskbar,” and other actions that were toolbar buttons in Windows 10 but are now in this overflow menu.

View options — the ones that actually matter

View menu in File Explorer → several options that change how files are displayed:

  • Show → File name extensions: Off by default, making it impossible to distinguish a photo.jpg from a photo.png or a document.doc from a document.docx. Turn this on. This should be enabled on any computer used for more than basic web browsing.
  • Show → Hidden items: Off by default. Hidden files include system files and application data. Enable when you need to access them; disable again if you want to avoid accidentally deleting system files.
  • Sort by: Name, Date modified, Type, Size — choose the most useful for the folder. Right-click the column header for a quicker access. “Group by” organises files into visual groups (e.g., today / this week / older) which works well for the Downloads folder.
  • Details pane: View → Show → Details pane — shows file properties on the right side of the Explorer window without opening a separate Properties dialog. Shows image dimensions, document author, audio metadata, and more for the selected file.

Address bar uses you might not know

The address bar in File Explorer does more than show your current location. Click on it to convert it from breadcrumb navigation to a text path you can type in. Useful things to type:

  • %appdata% — opens the AppDataRoaming folder (application settings and data)
  • %localappdata% — opens AppDataLocal (more application data)
  • %temp% — opens the temp folder (safe to delete contents when applications are closed)
  • \servername — navigates to a network server
  • Any UNC path (\servershare) — navigates directly to a network share

These shortcuts replace navigating through multiple folder levels to reach system locations. Type them in the address bar and press Enter to jump there immediately.

Search in File Explorer

The search box at the top right searches the current folder and all subfolders by default. A few search operators that make it more precise:

  • kind:document — filters to document types only
  • kind:photo — shows only image files
  • datemodified:last week — files modified in the past week
  • size:>100MB — files larger than 100MB
  • Name in quotes: "project report" — exact phrase match

For searching the entire computer (not just the current folder): use the Windows Search (Win+S) instead, which has better full-disk indexing than File Explorer’s own search. File Explorer search is better for finding something within a known location; Windows Search is better for finding something when you’re not sure where it is.

Tabs in File Explorer

Windows 11 (version 22H2 and later) added tabs to File Explorer — a long-requested feature. Ctrl+T opens a new tab. Ctrl+W closes the current tab. You can have multiple folder locations open in one File Explorer window instead of multiple windows, with tabs to switch between them.

This changes how file operations work: dragging a file from one tab to another moves or copies it, which is more efficient than having two File Explorer windows positioned side-by-side. For common tasks like copying files from Downloads to a project folder: open both in tabs, drag between them.

Keyboard shortcuts that save real time

File Explorer shortcuts that are worth making habitual:

  • Alt+↑: go up one folder level (replaces the old “Up” button from Windows XP/7)
  • Alt+← / Alt+→: back and forward in navigation history
  • Ctrl+N: open a new File Explorer window (useful before Ctrl+T tabs were added)
  • Ctrl+T: new tab
  • Ctrl+W: close tab or window
  • F2: rename the selected file
  • F5: refresh the current view (useful when watching a folder for new files)
  • Ctrl+Shift+N: create a new folder in the current location
  • Alt+D or Ctrl+L: focus the address bar for typing

The Alt+↑ shortcut is particularly useful — navigating up folder levels is a constant operation in File Explorer, and this shortcut handles it faster than clicking a breadcrumb in the address bar.

Customising which folders appear at startup

By default, File Explorer opens to “Home” — a view showing recent files, pinned folders, and OneDrive content. If you’d prefer it to open directly to “This PC” or a specific folder: three-dot menu → Options → General tab → “Open File Explorer to” → change from “Home” to “This PC.”

The “Home” view is useful when you regularly open recently-used files. “This PC” is better when you typically navigate from the drive level downward. Neither is objectively better; it depends on how you typically use File Explorer.

The single highest-value change available in File Explorer settings: enable “Show file name extensions.” This simple toggle prevents a class of mistakes (accidentally saving a file with the wrong format, not recognising file types at a glance) that affects almost everyone who has it disabled. It should be the first thing changed on any Windows 11 installation.

Windows 11 File Explorer has genuine improvements over its predecessors — tabs especially — but it also has the file name extensions toggle still off by default, which is a user-hostile default that Microsoft has stubbornly kept through many Windows versions. Network drives and mapped drives

File Explorer can connect to network locations — shared folders on home NAS devices, corporate file servers, or cloud storage exposed as drive letters. Mapping a network drive makes it appear as a drive letter (like Z:) in “This PC,” making it accessible from any application’s file picker without navigating through network paths.

Map a drive: right-click “This PC” in the navigation pane → “Map network drive” → choose a drive letter → enter the network path (\servershare or \192.168.1.100files) → “Finish.” The “Reconnect at sign-in” checkbox makes it persistent across reboots. If the drive letter disappears after a reboot: the “Reconnect at sign-in” option was unchecked, or the network location was unavailable when Windows started.

For cloud storage: OneDrive appears in File Explorer automatically when the OneDrive app is installed. Google Drive, Dropbox, and others also integrate when their desktop apps are installed. These appear as drives or folders in the navigation pane. The advantage of these integrations is that files in those folders sync automatically — anything you save to the Google Drive folder shows up in Drive’s web interface and on other devices without any manual upload step.

Compressing and extracting files

File Explorer handles ZIP files natively — no third-party software needed for basic compression and extraction. To compress: select files → right-click → “Compress to ZIP file.” The resulting ZIP file appears in the same location. To extract: right-click the ZIP → “Extract all” → choose destination → Extract.

Windows 11 24H2 and later expanded native format support to include 7-zip and other compressed formats directly in File Explorer. Older Windows 11 versions may need 7-Zip or WinRAR for non-ZIP formats. If you regularly work with .7z, .rar, .tar, or other archive formats: check whether your Windows 11 version handles them natively before installing additional software.

File operations — avoiding common mistakes

A few File Explorer behaviours that catch people out:

  • Dragging between drives vs within a drive: dragging a file from one folder to another on the same drive moves it. Dragging between two different drives copies it. Ctrl+drag always copies; Shift+drag always moves — use these when you want predictable behaviour regardless of which drives are involved.
  • Deleting from network drives or removable storage: files deleted from USB drives and some network locations don’t go to the Recycle Bin — they’re permanently deleted immediately. Right-click → Delete on a USB file bypasses recovery. Use Ctrl+Z to undo if you deleted accidentally before doing anything else.
  • Renaming file extensions: if file name extensions are visible and you rename a file, accidentally changing the extension (from .jpg to .jpg accidentally removing the dot) makes the file unreadable by applications that use file type associations. Windows warns about this, but it’s worth knowing.

File Properties — the underused panel

Right-click any file → Properties → several useful tabs. The Security tab shows which users and groups have what access to the file. The Details tab (for images, documents, audio) shows metadata: camera model and settings for photos, author and revision count for Office documents, bitrate and duration for audio. You can edit some metadata here — right-click the value → “Clear value” to strip metadata from files before sharing them if privacy is a concern.

For executables and application files: Properties → Digital Signatures tab shows the signature status. A valid signature from a known company confirms the file hasn’t been modified since it was signed. Missing or invalid signatures on executable files are a reason for caution.

File Explorer is the part of Windows where most people have never actively customised anything — they use whatever Microsoft shipped by default. The defaults are functional but not optimal. Ten minutes of exploration — enabling extensions, pinning favourite folders, learning a few keyboard shortcuts, and setting the startup location — pays back every time you use it from then on.
