Most brainstorming and planning work happens in a meeting room with a whiteboard and a marker — spatial, visual, and collaborative in a way that text documents and slide decks can’t replicate. But knowing how to use Miro well goes beyond placing a few sticky notes on a blank canvas. It means using the right frames, templates, and structured activities — retrospectives, sprint planning, user journey mapping, design critiques — that make facilitated collaborative sessions genuinely productive rather than digital white noise.
The canvas, frames, and navigation
The Miro canvas is infinite — no page boundaries, no edge, no running out of space. Navigate by holding the spacebar and dragging to pan, using Ctrl+Scroll (Cmd+Scroll on Mac) to zoom, or clicking the navigation minimap in the bottom right corner.
Essential navigation shortcuts:
- Ctrl+Shift+H / Cmd+Shift+H: fit the entire board into the current window — the fastest way to get a full overview after working zoomed in on a specific section
- Ctrl+Shift+- / Ctrl+Shift++: zoom out/in incrementally
- Minimap: bottom right corner — shows where on the infinite canvas the current view is located
Frames are the most important structural tool for organised boards. A frame is a bounded rectangle that defines a section of the canvas — giving it a name, keeping its contents visually grouped, and enabling presentation mode. Create one: press F → drag to define the frame size → name it in the frame header. Frames appear in the Frames panel (left sidebar) as a numbered list — clicking any frame jumps the canvas view to that frame.
The most effective workshop setup: create one frame per activity before the session begins — “Ice Breaker,” “Problem Statement,” “Brainstorm,” “Dot Voting,” “Synthesis,” “Action Items.” During the session, navigate between frames using presentation mode, keeping participants focused on one activity at a time rather than the full board.
Core building blocks
Most tools have single-letter keyboard shortcuts — using them eliminates the constant left-sidebar trips that slow the flow of a collaborative session:
- N: sticky note (click anywhere to place, type content, click elsewhere to deselect)
- T: text box
- S: shape selector
- F: frame
- X: connection/arrow tool
- P: pen for freehand drawing
Sticky notes — the most-used element for brainstorming. Use colour consistently for categorisation: one colour per person during individual brainstorming, one colour per theme during synthesis. Sticky notes can be moved freely, grouped, connected with arrows, and voted on.
Connections and arrows: hover over any element → a blue dot appears on each edge → drag from a blue dot to another element. The arrow updates automatically when connected elements are moved. Use for process maps, flow diagrams, and anything showing sequence or dependency.
Mind maps: Insert → Mind Map → click the centre node → add branches by pressing Tab or Enter. The mind map grows automatically with branches arranged symmetrically. Useful for agenda planning — place the session topic in the centre, add branches for each major discussion area, sub-branches for specific talking points — a visual agenda participants can see and contribute to before the session.
Tables and grids: Insert → Table → set row and column count. Cells can contain sticky notes, text, or images. Use for comparison frameworks — a 3×4 table with options as columns and evaluation criteria as rows creates a structured comparison matrix the team fills in collaboratively during decision-making sessions.

Dot voting — the most underused facilitation feature
The Voting session tool (in the toolbar) enables structured dot voting — each participant gets a set number of votes (dots) to place on sticky notes or elements, with results counted automatically.
Dot voting resolves the most common bottleneck in group decision-making: the debate over which of many good ideas to prioritise. A structured democratic process takes five minutes and produces a ranked list based on the group’s collective judgment rather than the loudest voice. Setting it up in Miro takes 30 seconds; the same outcome through verbal discussion typically takes 15 minutes and produces less representative results.
How to run it: after a brainstorming session, click the Voting icon in the toolbar → set the number of votes per person (typically 3–5) → start the session → participants allocate their dots in silence → stop the session → vote counts appear automatically on each element.
Templates for common workshop activities
The template library (accessible from the “+” button → Templates, or when creating a new board) contains hundreds of pre-built frameworks. Each template is a fully-configured board with instructions, frames, and example content — “Use template” creates a copy ready to fill in. For any recurring workshop type, bookmark the template that fits the team’s process and start every session from it rather than a blank board.
The most universally useful templates:
- Retrospective: Start, Stop, Continue columns — team reflection at the end of a sprint or project
- User Journey Map: for product and UX teams mapping customer experiences across touchpoints

After running a workshop that worked well, save it as a custom template: board title → “Save as template” → add to personal or team template library. Teams that run the same workshop type repeatedly (sprint retrospectives, design critiques, OKR reviews) benefit significantly from custom templates that reflect how their specific team does those sessions rather than generic industry defaults.

Facilitation features for live sessions
Invite collaborators: Share icon (top right) → enter emails or generate a shareable link → set access level (Can edit, Can comment, Can view). Guests don’t need a Miro account to join through a sharing link. Send the link before the workshop and ask participants to open it and add their name to a pre-session frame — confirming access before the session begins.
Cursor names: each participant’s cursor shows their name by default — the equivalent of watching someone’s hand move on a physical whiteboard, maintaining “who’s contributing what” awareness that makes collaboration feel real rather than isolated.
Follow Me mode: click your own avatar → “Let others follow me” — all participants’ views synchronise to yours. Use this to guide participants through frames in sequence during instruction periods, ensuring everyone is looking at the same area of the board.
Timer: Timer icon (top right) → set a countdown. Visible to all participants. Use for timed brainstorming — five minutes of silent individual sticky-note generation, with the visible timer creating gentle urgency, typically produces more diverse ideas than open-ended group discussion where a few voices dominate.
Presentation mode: Play button (top right) → cycles through frames in order. Each frame fills the screen. Navigate with arrow keys. Use after a collaborative session to review outputs frame by frame with the full team — a structured review of everything created.
Integrations and technical workflows
The Jira integration embeds Jira issues as cards on the Miro board. Import the sprint backlog → arrange user stories spatially for sprint planning by priority and team member → status updates feed back to Jira without manual re-entry. Sprint planning in Miro’s spatial format makes the relative priority and team capacity visible in a way that Jira’s list-based planning doesn’t.
For technical diagramming, Insert → Diagramming provides shape libraries with flowchart shapes, UML elements, network diagram components, and entity-relationship shapes. The advantage over a dedicated tool like Lucidchart: keeping the diagram on the same canvas as surrounding context — a system architecture diagram on one frame and the sprint planning board on the adjacent frame, connected visually.
Async design reviews: share the board link after adding designs as embedded images → each reviewer adds sticky notes with feedback directly on the design on their own schedule → the designer reviews comments and responds → the entire review happens without a synchronous meeting. Async review produces more thoughtful, complete feedback than a 30-minute call where half the participants haven’t had time to study the design carefully before the meeting starts.

The free plan’s three-board limit is the most common reason to upgrade. Common Miro workflow patterns
Sprint retrospective (60 minutes): Start from the retrospective template → one frame each for “What went well” (Start), “What didn’t work” (Stop), “What to continue” (Continue), and “Action Items” → 10 minutes silent sticky-note generation per frame → dot voting on the most impactful items in each category → facilitator captures the top-voted items as action items with owners and dates → presentation mode for the debrief.
Design critique (45 minutes): Designer embeds mockup screenshots on the canvas before the session → each frame contains one screen or flow → reviewers use sticky notes (one colour each) to annotate directly on the designs during the session → Follow Me mode to walk through designs frame by frame → dot voting to identify the most important feedback → designer exports the board or shares the link as the feedback record.
